Rules and Guidelines

YYC Hot Chocolate Fest runs from February 1 – 28, 2019.   Signature drinks must be available to customers each day that you are open for business.

$50 early bird registration is available from October 11 – November 5. Please complete the online vendor form to submit your registration. All vendors who have multiple locations (under the same name) are required to pay an additional $10.00 per location to help cover the cost of each locations promotional package.

November 6 – January 11 registration will be $75. Please complete the online vendor form to submit your registration. All vendors who have multiple locations (under the same name) are required to pay an additional $10.00 per location to help cover the cost of each locations promotional package.

Registrants can enter within TWO CATEGORIES: Best Hot Chocolate and/or Best Spirited Hot Chocolate (must be licensed with AGLC) with a maximum of two hot chocolates.

Participants agree to accept Free YYC Hot Chocolate Fest vouchers during the competition. These vouchers will be for traditional hot chocolates with a maximum of 5 vouchers issued for redemption per physical location.

Contributions from the sale of your signature YYC Hot Chocolate Fest drink(s) are to be received by Calgary Meals on Wheels no later than March 15, 2019.

Final tallies of cups sold [by location] must be confirmed and submitted to Calgary Meals on Wheels by noon on March 2, 2019 to be considered for the Cup that Runneth over.

We recognize one participant with the Cup That Runneth Over award to recognize their notable contribution to Calgary Meals on Wheels. This is determined by the number of cups sold, and the contribution per cup. Participants with multiple locations will have sales considered independently in the aim of fairness between all participants of varying sizes.

Please set your signature drink price and donation amount within the below parameters:

Best Hot Chocolate Category:

Maximum retail cost = $8.00

Minimum donation per cup = $1.00

Best Spirited Hot Chocolate Category:

Maximum retail cost = $12.00

Minimum donation per cup = $2.00

Please note, exceptions to price point can be made with valid reasoning expressed to our organizers.

In the event of similar naming of signature hot chocolates, first right of refusal will be given to the earliest registrant to keep their drink name. The latter registrant will be asked to provide a different beverage name.

Unsportsmanlike or suspicious play is grounds for removal from the running for Calgary’s Best Hot Chocolate and can be investigated with further action from the committee if needed.

All ratings must be submitted by the individual who purchased and tasted the signature hot chocolate.

Calgary Meals on Wheels reserves the right to remove drink reviews from the website. 1 review per person per drink. Duplicates and unsportsmanlike reviews will be removed at the discretion of the event organizers.
